How DEXA report information is handled.
Effective May 6, 2026. This notice summarizes our privacy practices for DEXA body composition reports and dashboard information. This is a practical web notice and should be reviewed by counsel before you rely on it as a formal HIPAA Notice of Privacy Practices.
Our role
Quarterly Scan Co. provides wellness and fitness tracking tools around DEXA body composition reports. The clinic or scan provider may have its own privacy practices, medical record duties, and HIPAA notice. When Quarterly Scan Co. receives protected health information from a covered entity, we intend to handle that information under the applicable authorization, business associate agreement, privacy law, and service purpose.
How we may use report information
- Attach your DEXA report PDF to your private dashboard.
- Extract scan values such as body fat percentage, fat mass, lean mass, regional body composition, visceral fat, BMC, and RMR.
- Show trends, goal comparisons, summaries, and suggested next-scan timing.
- Support your account, answer questions, troubleshoot uploads, and maintain security.
- Comply with legal duties and enforce our terms when necessary.
How we may disclose information
We may disclose information to service providers that help us operate secure login, storage, backend APIs, website hosting, booking support, and customer communication. When required, we expect appropriate agreements and safeguards to be in place.
We may also disclose information at your direction, with your authorization, to comply with law, to protect security, or as otherwise permitted by applicable privacy rules.
Your rights and choices
Depending on which laws apply and the role we are playing, you may have rights to request access to information, correction of inaccurate information, deletion where available, an export of dashboard information, or limits on certain uses. You may also choose not to use the dashboard or not to share progress cards.

Our duties
We aim to keep DEXA report information private and secure, use it only for the purposes described or authorized, limit access to people and systems that need it, and notify affected individuals if a legally reportable privacy or security incident occurs.
We may update this notice as our services, legal obligations, or privacy practices change. The current version will be posted on this website.
