Your scan data should be handled carefully.

What we collect

We may collect your name, email address, phone number, booking details, payment status from the booking platform, DEXA body composition report PDFs, extracted scan metrics, goals, notes you enter, dashboard login information, contact form messages, and basic website analytics.

DEXA scan information may include body fat percentage, fat mass, lean mass, total mass, regional body composition, visceral fat estimates, bone mineral content, resting metabolic rate estimates, scan date, and related report values.

How we use information

• Schedule and support DEXA body composition scan appointments.
• Attach clinic-uploaded or client-uploaded reports to the correct dashboard account.
• Extract scan values and show trends, goals, summaries, and progress comparisons.
• Communicate about bookings, support requests, report access, and account issues.
• Improve site reliability, security, and user experience.

Quarterly Scan Co. is for wellness and fitness monitoring. We do not use the dashboard to diagnose, treat, or provide medical advice.

Clinic report authorization

If you authorize the clinic or scanning location to share your DEXA body composition report with Quarterly Scan Co., we may receive that report and attach it to your dashboard account using your booking email address or other identifying booking details.

I authorize the scan provider/location to securely share my DEXA body composition report with Quarterly Scan Co. so Quarterly Scan Co. can attach the report to my private dashboard, extract scan metrics, and provide wellness and fitness tracking summaries. I understand this is not medical diagnosis or treatment.

Sharing and disclosure

We do not sell your scan results. We may share information with service providers that help us operate the site, booking flow, secure login, storage, email, analytics, and dashboard infrastructure. These providers are expected to handle information only for the services they provide to us.

We may disclose information if required by law, to protect the security of the service, to investigate misuse, or with your direction or consent.

Client-controlled social sharing

The dashboard may let you create a share card. Sharing is optional and client-initiated. You choose which metrics to include before copying, emailing, downloading, or posting the card.

Once you share information to a social network, email app, text message, or other third-party platform, that platform may handle the information under its own privacy rules. Do not share scan details unless you are comfortable with others seeing them.

Security

We are building the dashboard around AWS services that can support stronger privacy and security controls, including private storage, authenticated access, and access-limited backend APIs. No website or storage system can be guaranteed perfectly secure, but we aim to use reasonable administrative, technical, and physical safeguards for the type of information we handle.

Your choices

You may contact us to request access, correction, deletion, or export of information associated with your account, subject to legal, operational, and security limits. You can also choose not to use the dashboard or not to share progress cards.
